Our Practice Management Services are designed for clinicians who want to operate their own independent practice with professional infrastructure, guidance, and support behind them. Whether you’re just getting started or ready to grow, we offer scalable support that adjusts as your caseload grows — so you’re never paying for more than you need.

What Makes Our Model Different?

Most group practices offer a single structure: one split, one level of support, one way of working — regardless of where a clinician is in their career. Our practice management model is intentionally tiered and flexible, allowing clinicians to choose the level of support that fits their needs right now — and adjust as those needs change over time.
We recognize that clinicians dont all need the same thing. Some want full administrative and marketing support while they build a caseload. Others already have an established practice and simply want reliable billing systems, EHR access, and occasional guidance — without paying for services they don’t use. This is why we offer support that adapts to you — not the other way around.

Which Tier is Right for you?

We offer tiered pricing based on your licensure level, caseload size, and level of support you needs. Lower-cost support options for clinicians who need strong systems but prefer to manage their own growth. Higher-support options for clinicians who want help with marketing, intake, scheduling, and operations. This structure allows for adjustment as your practice evolves and ensures clinicians are never locked into more support — or higher fees — than they actually need.
Our Limited Support Tier is a good fit if you prefer to manage your own marketing and scheduling while still benefiting from strong billing systems, documentation tools, and coaching. This tier is lower cost with lower level of Support.
Our Full Support Tier is a good fit if you want help marketing and filling your caseload, managing intake, referrals and scheduling, and handling administrative tasks so you can focus primarily on clinical care.

Fully Licensed Clinicians- Limited support Tier
Practice Management Fee:• 25+ active clients: 15% fee (you retain 85%)• 15–24 active clients: 17.5% fee (you retain 82.5%)• Under 15 active clients: 20% fee (You retain 80%)
Includes:
• Insurance billing and payment posting• Credentialing services • Jane EHR system access with billing and template set up• AI-assisted clinical notes included- No more charting over the weekend. :) • Business coaching: Guidance to help you set up, maintain, and grow your counseling practice.• Directory listing on Pacific Neurocounseling website and insurance directories.
Note: Limited tier does not include full service marketing, scheduling, or office space.

Associate Clinicians- Limited Support TierPractice Management Fee:
• 25+ active clients: 30% fee (you retain 70%) (Supervision Included)• 15–24 active clients: 33% fee (you retain 67%) (Supervision Included)• Under 15 active clients: 35% fee (you retain 65%) (Partial Supervision Included)
Includes:• Insurance billing and claims management• Incident-to billing support under supervisors and group NPI. • Jane EHR system access• AI-assisted clinical notes- No more charting over the weekend. :) • Business coaching• Required DOL licensure supervision and note review/ sign-off• Compliance and credentialing support• Directory listing on the Pacific Neurocounseling website only (no targeted marketing or lead generation)
Supervision Structure (Associates):Supervision is included for Associate who maintain 15 or more clients per week. To support clinicians during the caseload-building phase, a time-limited supervision grace period is provided at the start of an associate’s engagement. For the 1st 60 days the required supervision is included. If an associate remains under 15 active clients after the ramp-up period, a monthly supervision contribution applies to help offset fixed supervisory costs. The supervision contribution is automatically removed once the associate reaches and maintains the 15-client threshold.
Note: Limited Support Tier does not include full service marketing, scheduling, or office space.

Office Space Inclusion (Full Support):15–19 active clients: one (1) office day per week included (Subject to availability) 20+ active clients: up to two (2) office days per week included (subject to availability)Under 15 active clients or additional days: office space available at published add-on rates

• Targeted marketing and advertising• Client intake and scheduling coordination• Ongoing administrative support• Internal referrals• Website lead routing• Practice growth strategy• Administrative communication managed by our team• Up to two (2) days per week of office space (availability-based)
Office Space Inclusion (Full Support):15–19 active clients: one (1) office day per week included20+ active clients: up to two (2) office days per week includedUnder 10 active clients or additional days: office space available at published add-on rates

Commitment
Businesses contracting with us agree to a 24-month minimum commitment, allowing time for onboarding, marketing setup, and initial administrative investment to be recouped. After 12 months on the full support tier, you may transition to a lower support tier if desired. If you are at a lower tier and decide that you need more support you may be able to increase to the full support tier at any time but you must remain at the full support tier for at least a full year.
Fee Review Schedule
Fees are reviewed on a semi-annual basis using average active client volume. Tiers remain stable between review periods to support predictability, ramp-up, and seasonal fluctuations.

Optional Add-Ons
Office Space
Office space is available as an add-on for:
• Clinicians on Limited Support, or• Clinicians on Full Support who want extra days per week
Monthly Rates:
Vancouver and Lakewood Offices, $225 per day of the weekMountlake Terrace Office: $250 Per day of the weekKirkland Office: $300 per day of the week

This model may be a good fit if you:
• Want to run your own practice but don’t want to manage billing, systems, or administrative logistics alone• Value flexibility and transparency in how support services are structured• Are comfortable operating as an independent business owner• Want scalable support that can grow with your caseload and goals Who Is This Not For?
Our practice management model may not be the right fit if you:
• Are seeking a traditional W-2 employment position• Prefer a fully managed schedule without responsibility for clinical autonomy• Are not comfortable with a percentage-based service model or waiting for claims to be processed. • Are looking looking to focus mostly on clinical care without managing a business.
